ERP Integration

Your ERP, your online shop and your other systems, working from the same data.

Products, stock, prices, orders, customers and invoices synced between the ERP and e-commerce, CRM, WMS, couriers, e-Factura and BI — with queues, retries, monitoring and reconciliation.

Let's Talk ERP implementation

ERP INTEGRATION

One source of truth. Every system in agreement.

Stock, prices, orders and invoices that match everywhere, without exports and copy-paste.

In most companies the ERP holds the official numbers, but the work happens in other places: the online shop, the CRM, the warehouse, the courier portals, the invoicing system and the reports management reads every Monday. When these systems are connected by manual exports, nightly CSV files that fail without anyone noticing, or a script nobody wants to touch, the result is predictable: products sold that are no longer in stock, prices that differ between channels, orders typed twice and invoices that do not match payments.

We design and build the integrations between your ERP and the rest of your stack, and we keep them running. Our team has been building production software since 2013, including the e-commerce side: we develop Magento and WooCommerce shops ourselves, so we know both ends of the most common integration. The goal is simple — each piece of data has one owner, every change reaches the systems that need it, and when something fails you find out before your customers do.

Integration architecture

Integration architecture

We map your systems and data flows, decide which system owns each field, and choose the right method for each flow: API, database, file exchange or middleware. You get a written design before any code is written.
Connectors and sync

Connectors and sync

Products, stock, prices, orders, customers and invoices moving between the ERP and your shop, CRM, WMS, couriers and BI, through queues with retries and idempotent operations, so nothing is lost or duplicated.
Monitoring and reconciliation

Monitoring and reconciliation

Dashboards and alerts for every flow, plus reconciliation reports that compare both sides and list the differences. You can see what synced, what failed and why, without asking a developer.

  • Integration design document and data ownership map
  • ERP to Magento and WooCommerce: products, stock, prices
  • Orders, customers and payment status back into the ERP
  • CRM, WMS and courier integrations (AWB, tracking)
  • Invoicing flows, including e-Factura (SPV) in Romania
  • API, database, CSV/XML/EDI or middleware connectors
  • Message queues, retries and idempotent operations
  • Monitoring, alerting and sync logs you can search
  • Reconciliation reports between ERP and every channel
  • Data feeds for BI and AI on top: anomalies, classification

HOW WE WORK

From scattered exports to reliable sync

Small, testable steps. Your business keeps running while we connect it.

Map systems and data

Map systems and data

We list every system, data flow, volume and manual workaround, and look at how the ERP exposes its data: API, database, files or an existing middleware.
Agree the data contract

Agree the data contract

For each entity we define the owner system, field mapping, identifiers, sync direction and frequency, and what happens on conflicts. Written down and signed off by your team.
Build the connectors

Build the connectors

Connectors with queues, retries, idempotency keys and structured logs, developed against test copies of your systems, never directly against production data.
Test with real data

Test with real data

Dry runs and parallel runs next to the current process, with reconciliation reports that show every difference before anyone relies on the new flow.
Go live in phases

Go live in phases

One flow at a time, usually stock and prices first, then orders, then invoices, each with a rollback plan and a clear owner on your side.
Monitor and improve

Monitor and improve

Alerts, dashboards and regular reconciliation keep the integration honest. We stay on to maintain it, adapt it to ERP updates and add new channels.

METHODS, RELIABILITY AND AI

How the integration is built

The boring parts are the ones that keep your data correct.

Four ways to connect, chosen per flow

A modern ERP usually offers a REST or SOAP API, and that is our first choice. Older or local systems may only allow access through their database, through views or staging tables we agree on with the vendor or your IT team. Many suppliers, marketplaces and logistics partners still exchange CSV, XML or EDI files over SFTP. When several systems are involved, a middleware layer with its own queue and transformation logic keeps the ERP from becoming a tangle of point-to-point scripts. Often a single project uses more than one of these methods.

Built to fail safely

Every system goes down sometimes. Messages wait in queues, retries use increasing delays, and idempotency keys make sure a repeated message never creates a second order or invoice. Records that keep failing go to a dead-letter queue with the exact error, and an alert reaches the right person. Reconciliation reports compare stock, prices, orders and invoices on both sides and list the differences, so problems are found by a report, not by a customer.

Platforms we can work with

We can work with SAP Business One, Microsoft Dynamics, Odoo, local Romanian ERPs and custom in-house systems on one side, and Magento, WooCommerce, CRMs, WMS, courier APIs, e-Factura (SPV) and BI tools on the other. For e-commerce we build the shop side too, see Magento development and integrations. If you are still choosing or replacing the ERP itself, start with ERP implementation.

Adding AI on top of clean data

Once data flows reliably, it becomes useful beyond the sync itself. Integration data can feed a warehouse for reporting, as described in data engineering and analytics, and event logs from orders and invoices are the raw material for process mining. On top of that we can add AI where it helps: anomaly detection for unusual prices, stock jumps or orders, classification of products and supplier documents, and assistants that can query ERP data safely through AI integrations and MCP servers. AI suggests and flags; the ERP stays the system of record.

Where it runs

Connectors and middleware can run on your infrastructure or on our own cloud in Cluj-Napoca, on our network AS56951, with backups, monitoring and access restricted to the systems that need it. Credentials are stored as secrets, never in code, and every integration user in the ERP gets only the permissions its flow requires.

Integrations should be invisible. You notice them only when the numbers match.

FAQ

ERP integration questions

Which ERP systems can you integrate?

We can work with SAP Business One, Microsoft Dynamics, Odoo and local Romanian ERPs, as well as custom in-house systems. What matters is how the ERP exposes its data: a documented API, a database we are allowed to read and write, scheduled file exports or an existing middleware. We confirm the options in the first technical review.

Real-time sync or scheduled batches?

It depends on the data. Stock and order status usually need near real-time updates, while full catalogue or price list refreshes can run in batches. We decide per data flow, based on business impact and on how much load the ERP can take.

What happens when the ERP or the shop is down?

Messages wait in a queue and are retried with increasing delays. Because every operation is idempotent, a retry never creates a duplicate order or invoice. Records that still fail go to a dead-letter queue and trigger an alert, so someone looks at them instead of losing them.

Can you connect the ERP to e-Factura (SPV)?

Yes, this is a common need for companies in Romania. If the ERP does not handle e-Factura itself, we can build the flow that generates the invoice XML, submits it, tracks its status and stores the response, with alerts for rejected invoices.

Do we need to replace our ERP first?

Usually not. Most integration projects work with the ERP you already have. If the review shows that the ERP itself is the bottleneck, we will say so and can help with a planned implementation or migration.

Tell us which ERP you use and what it needs to talk to. We will tell you honestly which approach fits and what it involves.
